Administrative Assistant

Reporting to the SVP, Operations, the part-time Administrative Assistant will support our executives and department leaders with various administrative tasks and projects. Working with local and international employees, the ideal candidate is highly organized, resourceful and tech savvy. Being proactive and self-sufficient is a big part of this role and you must be confident enough to ask questions when unsure of directions or requests. This is a part-time position; 10-15 hours per week to start (M-F). Hours may increase during busy times, so flexibility is a must! This is a HYBRID ROLE; the Admin is expected to work from the Huntington Beach office when needed.
KEY RESPONSIBILITIES:
- Execute administrative tasks such as meeting invites, reports, email correspondence, event planning, and travel arrangements for the executive team.
- Assist in-house counsel with document drafts, online records management, etc.
- May help the Marketing team with logistics before and during trade shows (coordinate shipping etc.).
- Support various teams with data entry and file management, including using a CRM system (Hubspot).
REQUIRED SKILLS:
- Proactive; a track record of asking questions and confirming details.
- Resourcefulness; if you don’t know, you know how to find out.
- Detail-oriented; aptitude for numbers and letters.
- Accurate; habitual proofreader.
- Excellent written and verbal English communication skills.
- Advanced Google Suite skills.
- Experience with data entry using CRM.
- Overseas travel experience a big plus.
